# Build a webinar campaign agent

> Turn a webinar brief into a webinar, email drafts, and workflows that you can review before launch.

Create a **Webinar campaign builder** that prepares the assets for each webinar from a brief. In this example, it creates the webinar in Conversion, seven email drafts, and three paused workflows for registration, reminders, and follow-up.

Keep your brand guidance and working rules in the agent's instructions. Give it the details of a different webinar each time you start a session.

## Have the webinar details ready

You need permission to create agents and campaign assets, and [Webinars](/product-docs/campaigns/webinars/overview) enabled in your workspace. Have these ready for the brief:

* Session title, description, speaker, date, time, timezone, and duration.
* The intended audience and the links to your existing registration page and Conversion registration form.
* The approved sender and published email theme. You can [create a theme with AI](/product-docs/user-guide/first-email#create-a-theme-from-a-website-or-image) first.
* Any brand or messaging guidance the agent should follow.

Creating a webinar in Conversion does not create the hosted session on Zoom, Sequel, or Goldcast. You will [connect the hosting platform](/product-docs/campaigns/webinars/platform-sync/overview) before testing registration and sending join links.

## Create the agent and give it standing instructions

1. Open **Agents**, then **New agent → Start from scratch**.
2. Name it **Webinar campaign builder**.
3. Add the description **Turn a webinar brief into a webinar, email drafts, and workflows for review.**
4. Leave **Triggers** empty. You will supply the first brief yourself.

Under **Context → Instructions**, enter:

> Turn each webinar brief into a Conversion webinar, emails, and workflows ready for review.
>
> Read the brief and brand documents. Confirm the session title, date, time, timezone, duration, audience, registration form, links, sender, and published email theme. Ask about missing details before creating assets. Search for existing assets with the same name to avoid duplicates.
>
> Create the webinar in Conversion. Build the requested emails with subjects, preview text, copy, and calls to action. Build the registration, reminder, and follow-up workflows, and place the emails and workflows inside the webinar. Scope every campaign condition to this webinar. Use its session date and timezone for reminders, skip reminders whose time has passed, and separate attendee and no-show follow-ups.
>
> Keep emails in Draft and workflows Paused. Do not connect a hosting provider or Salesforce, add members, send, publish, or activate anything.
>
> Return a table linking to the webinar and each asset, with its purpose and state. List missing links, sender or theme settings, integration steps, and anything that still needs review.

Add reusable material, such as your brand guide or approved product messaging, under **Documents**. Keep the event's date and speaker in its brief so the agent can handle the next webinar without rewriting its instructions. Click **Create agent**.

## Set its tools

Before starting a session, open **Tools**. Use the search field to find the actions the job needs:

| **Auto-approve** | Reads needed to find campaigns, campaign statuses, forms, email themes, senders, emails, and workflows. |
| **Require approval** | **Create campaign**, **Create email**, **Create workflow**, and **Move assets** if it needs to organize assets after creating them. |
| **Disabled** | Unneeded writes, including deletion, changes to contacts or campaign members, and connections to Salesforce or a hosting provider. |

Review the whole tool list after clearing the search. **Create campaign** is also used to create a webinar; check that the proposed campaign is a webinar when that approval appears. If you want the agent to revise existing assets, enable the relevant edit tools with **Require approval** too. ## Send it a webinar brief

On the agent's **Overview**, use **Ask anything...** to start a session. Replace the bracketed values below before sending. Choose a future date with enough time for both invitations.

Recording URL: Available after the event. Flag it as required before follow-ups can send.
Tone: Clear, practical, and friendly. Avoid exaggerated claims.

Create these seven emails:
- Invitation blast: one week before the webinar, with a Register CTA.
- Last-call blast: one day before, excluding people already registered.
- Registration confirmation: session details and the registrant's personal join link.
- One-day reminder: session details and personal join link.
- One-hour reminder: short copy and personal join link.
- Attendee follow-up: thank them, share the recording, and offer a next step.
- No-show follow-up: share the recording without implying they attended.

Create these three workflows, scoped to this webinar:
- Registration and reminders: trigger on the specified form, register the contact,
  send confirmation, and send the two reminders at the webinar-relative times.
  Skip a reminder if someone registers after its send time; do not send reminders
  after the webinar starts.
- Attendee follow-up: when this webinar's member status becomes Attended,
  send the attendee email.
- No-show follow-up: when this webinar's member status becomes No Show,
  send the no-show email.

Keep the two invitations as blast drafts and the other five as workflow email drafts.
Keep all three workflows paused. Do not send, publish, activate, add members, or
connect integrations. Return links to every asset and the remaining launch checks.

The brief defines the complete set of assets and how they should connect. The agent may ask for a missing detail before building. Answer in the same session so it retains the brief.

When a tool asks for approval, inspect the proposed action and its inputs. Approve the assets that match the brief; reject an unexpected action and explain the correction. Wait for the turn to finish before sending another request. See [Approvals](/product-docs/conversion-ai/approvals) for the review controls.

## Review the webinar and its assets

Open the webinar from the agent's response, then check **Overview** and **Assets**. Follow the links to the seven emails and three workflows, and check the actual contents:

* **Webinar:** the correct title, date, timezone, duration, and host. Confirm that it is a webinar, not a custom campaign with a similar name.
* **Emails:** the right published theme, sender, subject, preview text, and CTA. Invitations use the registration page; confirmation and reminders use the registrant's personal join link. The follow-ups must identify the recording link as unfinished until you supply it.
* **Registration and reminders:** the trigger uses the intended form, registration happens before the confirmation, and reminders use the event's date and timezone. Check the paths for someone registering a week before, thirty minutes before, and after the webinar begins.
* **Follow-up workflows:** each condition selects this webinar and its intended status. A contact registered for another webinar must not qualify.
* **Asset state:** emails remain **Draft**, workflows remain **Paused**, and the assets appear inside this webinar.

Use [webinar automation](/product-docs/campaigns/webinars/automating-webinars) and [webinar member fields](/product-docs/campaigns/webinars/members#webinar-member-fields) to check registration, attendance, and personal join links. Attendance-based follow-ups depend on the member statuses actually being updated after the session.

If something needs changing, return to the same agent session with the asset link and a specific request, such as “Shorten the one-hour reminder and keep its current join-link personalization.” Review any proposed edit before applying it.

Before launch, connect the correct hosted session, resolve missing values, [preview and test the emails](/product-docs/user-guide/first-email#send-yourself-a-test), and test the workflows with a contact you control. Publishing the emails, scheduling the invitation blasts, and activating workflows are separate actions you complete in the product.

## Use it for the next webinar

Start a new session with a new brief and a distinct campaign name. Keep the agent's standing instructions and brand documents, and review each set of generated assets.
