Connection issues

”Something went wrong” when connecting

The most common causes:
  • You’re not a Zoom account admin. Zoom is an admin-managed app, so a non-admin Zoom user cannot approve the required scopes. Ask a Zoom account admin to complete the connection, or have them pre-approve the app for your account in the Zoom App Marketplace.
  • The authorization took too long. The connection request expires after 30 minutes. Restart the flow from the Integrations tab and complete the Zoom sign-in promptly.
  • The authorization was declined. If you click decline (or close the window) on Zoom’s consent page, no access is granted. Start again and click Allow.

The Zoom card doesn’t show as connected

Refresh the integrations page. If it still shows Connect, run the flow again — a partial authorization is safe to retry and will simply be replaced by the new one.

Webinar sync issues

My Zoom webinar doesn’t appear in the sync dropdown

  • It’s a meeting, not a webinar. Only Zoom webinars are supported. Meetings won’t appear.
  • It’s already synced. A Zoom webinar can only be synced to one Conversion webinar, and already-synced webinars are hidden from the picker.
  • It belongs to a different Zoom user. The list shows webinars scheduled by the Zoom user who connected the integration. Reconnect with the host’s account or an admin account with access to the webinar.
  • Your account lacks a Webinar license. The Zoom Webinars add-on is required to schedule webinars at all.

Webinar details in Conversion are out of date

Conversion refreshes metadata automatically when the webinar is updated in Zoom, but there can be a short delay. Open the webinar’s Overview tab and click Re-sync to pull the latest details immediately.

Registration issues

Members are set to “Registration Error”

Conversion retries failed registrations several times before marking the member with Registration Error. Persistent failures usually mean:
  • Registration isn’t enabled on the Zoom webinar. Webinars with approval type “no registration required” can’t accept registrants. Enable registration in Zoom’s webinar settings, then move the member back to Registered.
  • The contact’s details were rejected by Zoom. Zoom requires a valid email address and a first name for every registrant. Fix the contact record and retry.
  • The webinar has already ended or was deleted in Zoom.

A member is stuck between “Invited” and “Registered”

If the Zoom webinar uses manual approval, the registration stays pending until a host approves it in Zoom. Once approved (or denied), Conversion updates the member automatically.

Attendance issues

Attendance hasn’t appeared after the webinar

Zoom finalizes its attendance report a few minutes after the webinar ends, and Conversion keeps retrying until the report is ready. If attendance is still missing well after the webinar:
  • Confirm the webinar was synced before it ended — Conversion can only process the end-of-webinar event for synced webinars.
  • Confirm the Zoom connection was active when the webinar ended. If Zoom was disconnected at that time, the event was not processed.

Some attendees weren’t matched

Attendance is matched by each participant’s Zoom registrant ID. Attendees who joined without registering (e.g. panelists, or webinars that don’t require registration) may not match a Conversion member.
