Webinar member statuses
Every contact added to a webinar is a member with a status. Synced Zoom webinars use this progression:
Attended and Attended On-Demand count as success statuses. In automated contexts, members only move forward through this list.
Sync a webinar with Zoom
Link a Conversion webinar to a Zoom webinar so its metadata, registrations, and attendance flow into your CRM. Use case: You’ve scheduled a webinar in Zoom and want to run the marketing for it — invitations, registration tracking, follow-ups — from Conversion. Prerequisites:- Zoom is connected to your workspace.
- The webinar exists in Zoom and hasn’t been synced to another Conversion webinar.
- A webinar exists in Conversion. See Creating a Webinar.
- Open your webinar in Conversion and go to the Overview tab.
- In the Integrations section, click Connect on the webinar platform card.
- Select the Zoom webinar from the dropdown.
- Click Confirm and sync.
Register contacts for a Zoom webinar
Register contacts on the Zoom webinar directly from Conversion — no need for them to fill out Zoom’s registration form. Use case: You want to register known contacts (e.g. everyone who clicked your invite email, or a list of target accounts) and send each of them their personal Zoom join link. Prerequisites:- The webinar is synced with Zoom.
- Registration is enabled on the Zoom webinar (approval type “automatically approve” or “manually approve”).
- The contact has a valid email address; a first name is recommended, as Zoom requires one for registrants.
- Open the webinar’s Members tab and add contacts — they start as Invited.
- Move a member’s status to Registered — manually from the Members tab, or automatically with the Update Campaign Member node in a workflow.
- Conversion registers the contact on Zoom and writes the result back to the member:
webinar_url— the contact’s unique Zoom join linkwebinar_registrant_id— Zoom’s registrant IDwebinar_registered_at— when the registration completed
If the Zoom webinar uses manual approval, the member stays pending until a host approves the registration in Zoom. Once approved, Conversion marks the member Registered and stores their join link. If registration fails after retries, the member is set to Registration Error so you can spot and fix the issue.
Capture registrations made on Zoom
Registrations that happen on Zoom’s own registration page appear in Conversion automatically. Use case: You promote the Zoom registration page directly (social, ads, partner emails) and want everyone who registers there to show up in your CRM and enter your follow-up workflows. Prerequisites:- The webinar is synced with Zoom.
Track attendance automatically
After the webinar ends, Conversion pulls the attendance report from Zoom and updates every member. Use case: Send different follow-ups to attendees and no-shows, and report on webinar engagement without exporting CSVs from Zoom. Prerequisites:- The webinar is synced with Zoom.
- The webinar has ended (Conversion is notified by Zoom and pulls the report once Zoom finalizes it, typically within minutes).
- Members who joined the live webinar are set to Attended, with
webinar_join_time,webinar_leave_time, andwebinar_join_durationrecorded on the member. - Members who registered but didn’t join are set to No Show.
Automate with workflows
Webinar activity plugs into workflows on both ends: Webinars use the same triggers and nodes as any other campaign, with the webinar selected in the Campaign field.- Trigger on webinar membership. Use the Contact is added to campaign or Contact is removed from campaign event trigger with the webinar selected.
- Trigger on webinar status. Use a criteria-based trigger with a campaign membership condition to enroll contacts at a particular status, such as a recording follow-up for everyone marked No Show.
- Change a member’s status. Use the Update Campaign Member node. Setting the status to Registered on a Zoom-synced webinar performs the actual Zoom registration and waits for it to complete before the workflow continues, so downstream emails can reference the contact’s join link.
