Webinar members work like any other campaign member: they appear on the contact record, in audiences, and in your reporting. This page covers what’s specific to webinars, namely the fixed statuses, registering people on your platform, and the fields Conversion fills in as they register and attend.

Member statuses

Every webinar uses the same six statuses. They match what webinar platforms report, so unlike a custom campaign type you can’t rename them or add your own. Attended and Attended On-Demand are the success statuses, which is what Salesforce uses for campaign ROI and response rate reporting.

Add contacts

Prerequisites: The contacts already exist in Conversion. To register successfully on a platform, each needs a valid email address, and Zoom also requires a first name.
  1. Open the webinar’s Members tab and click Add members.
  2. Search or filter to find the people you want. Anyone already on this webinar is excluded from the list.
  3. Select the contacts and click Add.
New members start at Invited. Adding someone doesn’t register them on your webinar platform.
Re-adding an existing member is safe. Their status only ever moves forward, so an attendee won’t be reset to Invited.

Register members

Registration happens when a member moves to Registered, not when they’re added. Either:
  • Select the member, click Update status, choose Registered, and confirm.
  • Use the Update Campaign Member node in a workflow, which is how most teams do it.
If the webinar is connected to Zoom, Sequel, or Goldcast, Conversion creates the registration there and saves the person’s join link. If it isn’t connected, the status changes and nothing is sent anywhere. Updating and removing members otherwise works as it does on any campaign. See Campaign Members.

Webinar member fields

Conversion fills these in for you as people register and attend. They’re read-only. What gets filled in depends on what the platform reports. Goldcast provides webinar_join_time but not webinar_leave_time or webinar_join_duration, and its join links can arrive a few minutes after the member reaches Registered. Use them in your emails with Liquid:
